REGISTRATION FEES

The MAIN CONGRESS FEE includes all the Scientific Lectures, congress bag and material, proceedings in PDF file sent via email, congress badge sent via email, access to exhibition area, lunch and coffee breaks for every day of participation, as well as Welcome reception on Thursday, 24^th September.

The PRE CONGRESS COURSES FEE includes access to all lectures and practical sessions specific to the selected course, course material, proceedings in PDF file sent via email if available, congress badge sent via email, lunch and coffee breaks if scheduled in the programme.
Registration for the Main Congress is mandatory to attend any of the Pre-Congress Courses.

Accompanying persons are not allowed to attend scientific sessions neither to enter the exhibition area.

Pre-congress Courses

Last day to register for a pre-congress course is 15^th July. ESVOT reserves the right to cancel any course that does not meet minimum registrations by 15^th July. If the course is cancelled by this date, registrants will be notified via email no later than 20^th July and all paid registration fees will be refunded.

Registrants for courses are advised not to make airline and hotel reservations until after 20^th July to make sure selected laboratory is finally confirmed.

ESVOT will not reimburse travel expenses in the event of cancellation due to low registrations.
All course registration fees must be paid in full by 15^th July, to guarantee a seat on the desired course. All unpaid seats will be released after 15^th July and offered to another participant.

You can choose fees without VAT (Value Added Tax), net fees ONLY IF:

The invoicing address is outsite Italy and in the EUROPEAN UNION, AND

You supply a valid VAT Code in the "Invoicing Data" Section

You are a Non-EU citizen and you submit a declaration providing the company details (name, address and Tax Registration Number)

IF YOU CHOOSE A FEE WITHOUT VAT AND YOU ARE AN ITALIAN CITIZEN, AN ITALIAN COMPANY, AN EU CITIZEN / COMPANY WITHOUT A VALID VAT CODE, A STUDENT, A PUBLIC/PRIVATE EMPLOYEE YOUR REGISTRATION CAN NOT BE PROCESSED. FOR ANY DOUBT PELASE CONTACT THE SECRETARIAT.

TRANSFERRING OF REGISTRATION / CHANGE OF NAME & CANCELLATION POLICY

An administrative fee of € 80,00 will be charged per item changed within your registration. To cancel your full meeting registration, a € 80,00 fee will be assessed. Requested cancellations after the deadline 31 August will only be given in cases of extenuating circumstances (e.g., death in the family, medical emergency) and must be supported by writtend documentation. Please allow 30 days for processing refund requests.

No refund will be made in case of non-receipt of Visa. All refunds and changes must be requested in writing to secretariat@wvoc2026.org
